Role Overview

Cumulus Digital Systems is seeking a proactive, detail-oriented, and highly organized Team Operations Coordinator to serve as the central point of coordination for our Houston-based operations. This role is the glue that keeps the Professional Services and Deployment Engineering teams running — ensuring that people, tools, data, and processes are aligned so projects move forward efficiently.

The Team Operations Coordinator will support daily operations across logistics, documentation, and administration, helping create structure and consistency in how the team operates. The ideal candidate thrives in a fast-paced, technical environment and takes pride in being the person others rely on to keep things moving, organized, and on time. This is a full-time role, based out of our Houston office and reporting to the VP of Professional Services.

Key Responsibilities

Operational Support

  • Serve as the central hub for Houston operations — helping connect people, tools, and processes across multiple projects.
  • Manage and maintain inventory control systems, including tool tracking, calibration schedules, and asset check-in/out.
  • Oversee shipping and receiving of tools, devices, and materials to and from project sites and vendors.
  • Coordinate with procurement and vendors to ensure timely replenishment of equipment and office supplies.
  • Maintain organized physical and digital storage of operational assets and documentation.
  • Track and report key operational metrics such as tool utilization, shipping turnaround, and deployment readiness.
  • Support compliance with internal quality and safety procedures related to field operations.

Administrative Coordination & Document Control

  • Manage team timekeeping, ensuring accuracy of hours logged and timely submission to payroll or project tracking systems.
  • Review and process team expense reports, verifying documentation and compliance with company policies.
  • Maintain the Professional Services team calendar, including meetings, site visits, and travel schedules.
  • Coordinate internal communication and assist with project documentation, reporting, and recordkeeping.
  • Serve as the primary point of contact for document control, ensuring new or revised materials (training documents, templates, SOPs, etc.) are published, versioned, and digitally filed correctly in Cumulus’ internal repositories (e.g., Notion, Egnyte, or SharePoint).
  • Support leadership in creating and maintaining standardized templates, reports, and deployment documentation.

Office and Facilities Management

  • Maintain a well-organized, safe, and efficient Houston office environment.
  • Order and manage office supplies and equipment to ensure daily operational readiness.
  • Serve as the first point of contact for visitors, deliveries, and general office inquiries.
  • Assist with basic facility coordination and vendor communication related to office upkeep.

Cross-Team and Project Support

  • Collaborate with Project Managers, Deployment Engineers, and the Customer Success team to ensure smooth coordination of project logistics and information flow.
  • Support onboarding of new team members, including equipment provisioning, system access, and team orientation.
  • Coordinate travel logistics for field deployments, including flights, hotels, and per diem arrangements.
  • Provide ongoing administrative and logistical support to leadership for reports, planning, and internal projects.
  • Identify and help implement process improvements that make the team more efficient, organized, and connected.

Professional Qualifications

The successful candidate will have:

  • 2–4 years of experience in operations, logistics coordination, or office administration (experience in industrial, field service, or engineering environments preferred).
  • Demonstrated ability to manage inventory systems, shipping/receiving, or similar logistics workflows.
  • Experience with document control, version management, or records management systems.
  • Strong organizational and multitasking abilities, with exceptional attention to detail and follow-through.
  • Excellent written and verbal communication skills, with a proactive, service-oriented mindset.
  • Proficiency with Microsoft Office 365, Google Workspace, and project management tools such as Rocketlane, Asana, or Monday.com.
  • Experience with file management systems such as Egnyte, Notion, or SharePoint.
  • Ability to work independently and manage competing priorities in a fast-paced environment.
  • Comfortable in a hands-on, collaborative role that occasionally includes physical tasks like packaging or organizing equipment.
